This Privacy Policy explains what Vahn360 collects from you and your dealership, why we collect it, and the choices you have — in plain language, not legalese.

1Introduction

Vahn360 ("Vahn360", "we", "us", "our") is an AI operating system built for Indian used car dealers — bringing inventory management, AI photography, lead unification, insurance, finance and RTO workflows into one platform.

This policy applies to dealership owners, staff, and authorised users who access Vahn360 through our website, mobile app, or dealer dashboard ("Services"). It also covers how we handle personal data about customers and leads that dealers manage through Vahn360.

We built Vahn360 to reduce chaos across WhatsApp, listing sites and spreadsheets — not to build a data business. We only collect what the platform genuinely needs to run your dealership.

2Information we collect

Because Vahn360 sits at the centre of your dealership operations, the information we process falls into a few distinct categories:

2.1 Account & dealership information

  • Owner/staff name, phone number, email address and role
  • Dealership name, address, GSTIN, and RC/trade licence details
  • Login credentials and device identifiers used for authentication
  • Subscription plan, billing and payment details

2.2 Inventory & vehicle data

  • Vehicle registration numbers, make, model, year, and condition notes
  • Photos and videos captured or enhanced through the AI Photography Studio
  • Pricing, margin and days-on-lot data entered by your team
  • Vehicle intelligence data pulled from RTO, e-Challan and service history lookups

2.3 Lead & customer data

  • Names, phone numbers and enquiry details synced from WhatsApp Business, Facebook, Instagram, OLX, CarTrade and other connected channels
  • Communication logs, response times and conversation history within the Unified Lead Inbox
  • Test-drive, negotiation and follow-up notes added by your sales staff

2.4 Finance, insurance & RTO data

  • Loan application and disbursement data shared with banks and NBFC partners
  • Insurance quotes, policy numbers, renewal dates and commission records
  • RTO transfer status, document uploads and name-transfer tracking details

2.5 Usage & device data

  • App and dashboard usage patterns, feature interactions and session logs
  • IP address, browser type, device model and operating system
  • Crash reports and performance diagnostics

3How we use information

We use the information above to:

  • Operate core features — inventory sync, AI photography, lead routing, P&L analytics and finance/insurance workflows
  • Publish your listings across connected marketplaces on your instruction
  • Automate reminders for insurance renewals, RTO transfers and follow-ups
  • Detect fraud, secure accounts and prevent misuse of the platform
  • Provide customer support and respond to your queries
  • Improve our AI models for photography, pricing and lead scoring using aggregated, de-identified data
  • Send service updates, billing notices and — only with consent — product news

We do not use dealership or customer data to sell targeted advertising, and we do not sell personal data to data brokers.


4Sharing & third parties

Vahn360 only works because it connects to the platforms your dealership already uses. We share data with the following categories of partners, strictly to deliver the features you enable:

  • Listing & messaging platforms — WhatsApp Business API, Facebook, Instagram, OLX, CarTrade and Cars24, for publishing inventory and syncing leads
  • Banks & NBFCs — for loan application submission and status tracking, only when you initiate a finance request
  • Insurance providers — for quote generation, policy issuance and renewal tracking
  • Government & RTO systems — for vehicle intelligence, e-Challan and RTO name-transfer verification, via authorised API access
  • Cloud & infrastructure providers — for hosting, storage and processing (bound by confidentiality and data-processing agreements)
  • Legal & compliance — where required by law, court order, or to protect the rights and safety of Vahn360, dealers, or customers
We never share your dealership's pricing, margin or customer data with competing dealers on the platform. Data submitted to the B2B Marketplace is limited to what you explicitly choose to list for trade.

5Storage & security

Your data is stored on secure cloud infrastructure with encryption in transit (TLS) and at rest. Access within Vahn360 is role-based — only authorised personnel working on your account or platform reliability can access dealership data, and all access is logged.

We run regular security reviews and apply industry-standard safeguards. No system is completely immune to risk, and we encourage you to use strong passwords, enable available login protections, and restrict staff access within your dealership dashboard to only what each team member needs.


6Data retention

We retain dealership and customer data for as long as your account is active, and for a reasonable period afterward to meet legal, tax, and regulatory record-keeping requirements (including RTO, finance and insurance documentation that partners may require us to retain).

If you close your Vahn360 account, we will delete or anonymise personal data within a reasonable period, except where retention is required by law or for the legitimate resolution of disputes.


7Your rights

In accordance with India's Digital Personal Data Protection Act, 2023 (DPDP Act) and applicable law, you and the individuals whose data you manage in Vahn360 have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request erasure of your data, subject to legal retention requirements
  • Withdraw consent for optional communications at any time
  • Nominate a representative to exercise these rights on your behalf
  • Lodge a grievance with our Grievance Officer, and escalate to the Data Protection Board of India if unresolved

Dealers are responsible for informing their own customers about how their enquiry data is used within Vahn360, and for honouring data requests from their own customers in line with this policy.


8Cookies & tracking

Our website and dashboard use cookies and similar technologies to keep you signed in, remember preferences, and understand how the product is used so we can improve it. You can control cookies through your browser settings; disabling some cookies may limit certain features.


9Children's privacy

Vahn360 is built for dealership businesses and is not directed at, or intended for use by, individuals under 18. We do not knowingly collect personal data from children.


10Changes to this policy

We may update this Privacy Policy as Vahn360 evolves. If changes are material, we will notify dealers through the dashboard or via email before the changes take effect. The "Last updated" date at the top of this page always reflects the current version.
